The 8-Week Party Planning Timeline

Built for Ocean County specifically — because graduation season and LBI summer weekends fill up in ways that generic checklists don't warn you about.

8 weeks out

Lock the date and the guest list

  • Pick the date. Check it against school calendars, LBI summer weekends, and holiday traffic.
  • Decide house party vs. venue. Venues in Ocean County book out further than anything else.
  • If it's a graduation — book your yard card now. May and June are the only time we turn people away.
6 weeks out

Book the things that sell out

  • Venue, if you're using one.
  • Photographer — the good ones are gone first for graduation and summer dates.
  • Caterer or food plan.
  • Entertainment (bounce house, DJ, face painting).
4 weeks out

Book the vendors and send invites

  • Cake or dessert order.
  • Rentals: tables, chairs, tents.
  • Send invitations — digital is fine and gets faster RSVPs.
  • Book your yard card display if you haven't. Two to three weeks is our comfortable window; a month for July 4th.
2 weeks out

Confirm everything

  • Confirm every vendor in writing. Re-confirm times, not just dates.
  • Finalize your yard card design, theme, and colors with us.
  • Order decorations, balloons, tableware.
  • Chase the RSVPs that haven't come in.
1 week out

Prep the house and the lawn

  • Water the lawn 2–3 days before setup — soft ground holds stakes.
  • Mow and trim. No mowing once the display is up.
  • Tell us about sprinkler heads, gates, and dogs.
  • Confirm final headcount with the caterer.
The day before

Let it happen

  • Turn off automatic sprinklers.
  • Move cars and trash cans off the display area.
  • We set up the yard card overnight — no need to be home or awake.
  • Charge your phone. You'll want it in the morning.

The Two Windows That Catch People Out

Graduation (May–June). Every family in the county wants the same three weekends. Photographers, venues, and yes, yard cards. Book four weeks out or accept that you may not get your first choice.

LBI summer (late June–August). Saturdays go first. The Fourth of July is our single busiest day of the year, and a month's notice is not excessive.

September and October, meanwhile, are wide open and the weather is perfect. If your date is flexible at all, it's the best-kept secret in party planning down here.
